    Expected This Month: Retired Certifications & Resuscitation Credentials Auto-Hidden
    Last year we released the ability for administrators and students (if their respective Roles allow) to manually retire certifications and resuscitation credentials that are no longer being pursued/renewed (review here). Later this month, any retired items – current and future – will be automatically hidden on My Team. If items are unretired, they will automatically reappear on My Team.

    Expected This Month: Edit Documents in Smart Notes
    Based on your feedback, we’re rolling out two feature updates to Smart Notes in November: 
    • Edit/Update Documents: Administrators with the Smart Notes Manager role can soon edit/update the title, URL, document name, and/or attached file within the Documents section of any Smart Note. Once released, you can update these document details for existing Smart Notes as well as future Notes.  
    • Re-Acknowledgement Banner for In-Progress Learners: If an administrator updates a Smart Note with “Require read acknowledgement” enabled, any learners in progress with the associated course(s) must review the updated Note, including downloading/viewing any documents and then clicking Confirm again. To help ensure in-progress learners are aware of this requirement, a red banner will appear at the top of any updated Note – view here. NOTE: Learners that have already completed the course(s) will not be alerted to Smart Note updates; however, when viewing the course(s) from their Completed tab the updated Note is shown.
     
    Expected This Month: 4 New Datasets for Insights’ Custom Reports
    In late August, we completed our Insights rollout to all Enterprise and hStream Administrators – to access, click “Apps” in the upper right (TrainingHelp). As a reminder, we’ll be progressively adding more “Standard Reports” and datasets to “Custom Reports” over the coming months, as well as further enhancing your Insights user experience with design and feature updates. After our November update, you’ll see these new datasets – in addition to Assignment, Student, Certification, and License datasets – in your Custom Reports Builder:
    • Student Group Metadata – Containing fields related to the Student Group, like: Student Group Name, Student Group Type, Student Group Visibility, Created By, Created On, Last Updated By, Last Updated On, etc.
    • Student Group Criteria – Containing fields related to the criteria you selected when setting up the Student Group, like: Departments, Job Titles, Job Categories, Job Functions, etc. 
    • Student Group Listing – Containing fields showing what students belong to a Student Group, like: Student Group Name, User ID, User Department, User Institution, etc.
    • Class Metadata – Containing fields related to Classes, like: Class Name, Class Start/End Dates, Instructor(s), Number of Students Signed Up for Class, etc.
     
    Effective January 30, 2026: End Dates Required for & Added to All Assignments 
    An important but often overlooked aspect of HLC maintenance is adding End Dates to all assignments, which can improve your organization’s system performance and help administrators ensure only relevant/timely assignments appear on employees’ To-Do Lists. To help organizations meet this maintenance recommendation, on January 30:
    • End Dates Will Be Required: The Assignment End Date field will be updated from optional to required on January 30, 2026. 
    • End Dates Must Be Within 5 Years: After this January 30 release, the End Date field will not allow you to populate a date that is more than 5 years in the future. This will apply when creating a new assignment or editing an existing assignment.
    • Non-Compliant Assignments Auto-Updated: During the January 30 release, HealthStream will automatically add an End Date of December 31, 2030, to any assignments that 1) do not have an End Date or 2) have an End Date that is more than 5 years in the future. 
    Key Points & Recommendations
    • These changes apply to Individual, Group, One-Time, Recurring, and Certification-Based Assignments (CBAs). 
    • The only exceptions to these changes are assignments related to the HealthStream Performance (HPC) or Competency Centers (HCC), Learning Plans, and Interval Plans. 
    • Administrators are highly encouraged to always include a Grace Period for assignment completions – Ex: You may set your Due Date as 11/30/2025 and your End Date as 11/30/2026, allowing a Grace Period of 365 days. 
    • To proactively identify assignments without an End Date or End Dates significantly in the future:
      • Click “Manage Group Assignments” on the Education tab and then use the “End Date Range” or “No End Date” checkbox.
      • Run the Assignment Structure report, leveraging the “End Date Range” or “No End Date” checkbox. Be sure to export to Excel or CSV for additional data columns!
      • Run the Learning Assignment Summary report, keeping the default selection of “Future or No End Date” in place. Be sure to export to Excel or CSV for additional data columns!
    • ​​​​Please refer to Help as needed and remember that at 12:00 AM Eastern Time on the End Date:  
      • Any learning item not yet accessed will be removed from the To-Do List.
      • Any learning item in which the student has enrolled will become Elective Learning.
      • Students that have not completed the assignment will display as Delinquent on applicable reports. 
      • By default, administrators will not see Ended Assignments on the student’s Assignments page (review here); however, you can update the Status filter to view All Statuses or Ended Assignments Only. ​​​​​​
